Purpose of the Job

In this role, the Secretary / Receptionist will operate under the guidance of the Permanent Representative and the direct supervision of the Finance & Admin Officer.

Key Duties and Responsibilities

– Answer and manage all incoming phone calls, greet visitors, and handle inquiries with a friendly demeanor.
– Carry out reception duties and ensure smooth office operations.
– Draft, type, and proofread official documents and correspondence with attention to detail.
– Assist in preparing reports, organizing meetings, and coordinating conferences.
– Manage office filing, oversee mail distribution, and ensure documents are properly handled.
– Provide administrative support across different departments as needed.
– Step in for the Bilingual Secretary when required.
– Take on additional tasks as assigned by supervisors.

Academic Requirements & Experience

– A Diploma or Bachelor’s Degree in Administrative/Secretarial Science or a related field.
– At least 3 years of relevant work experience with a Diploma, or 2 years with a Bachelor’s Degree.
– An advanced certificate in secretarial studies, with credits in at least two AU working languages.
– Strong command of English or French; knowledge of German or Dutch is a plus.
– Excellent interpersonal, organizational, and office management skills.

Skills & Competencies

– Outstanding oral and written communication abilities.
– Strong teamwork and collaboration skills.
– Proven experience in drafting, presenting, and IT proficiency.
– Ability to thrive in a multicultural environment.
– Proficiency in at least one AU working language (Arabic, English, French, Kiswahili, Portuguese, or Spanish).

Contract & Benefits

– Contract Duration: 3 years (with a 12-month probation period, renewable based on performance).

– Post adjustment: 54% of the basic salary.
– Housing allowance: US$ 16,813.44 annually.
– Education allowance: Up to US$ 10,000 per child for eligible dependents.
